How to Create QR Codes from Excel in Bulk

Prepare one QR payload per Excel row

A QR code can encode text or a URL, so the spreadsheet should contain the exact payload each row is meant to produce. Keep the payload in its own column and use a separate optional name column when you want a human-readable label or safer file naming.

• Use one URL or text payload per row.
• Use a clear header such as QR Content, URL, Link or Barcode Value when it describes the data accurately.
• Keep Product Name or another short label in a separate optional column.
• Remove accidental blank rows and avoid merged cells in the content area.
• Check that URLs include the intended protocol and destination before generation.

Generate the QR batch in BarcodeBatch

Open the Excel Bulk page and use its QR Excel workflow. There is no barcode-format choice for QR: upload the .xlsx file, let the tool detect the likely content and optional name columns, review the rows, then generate the output.

The current browser-side workflow supports up to 1,000 data rows per worksheet. The returned workbook keeps the original data and adds a QR Image column, while the ZIP provides individual QR PNG files for valid rows.

Know what the QR code actually contains

BarcodeBatch generates static QR symbols from the value supplied in the workbook. If the cell contains a URL, the QR code contains that URL. If the destination later changes, the already printed static QR code does not magically update unless the encoded URL itself redirects somewhere else under your control.

This is different from commercial dynamic-QR services that place a managed redirect between the printed code and final destination. Choose the model based on whether you need a permanent direct payload or a managed destination that can change later.

Protect scan reliability after generation

QR reliability depends on more than the encoded data. DENSO WAVE documents a four-module quiet zone around a QR Code and warns that distortion or content placed too close to the symbol can make scanning difficult or impossible.

For a bulk print run, test a representative sample at the final physical size instead of assuming that a PNG which scans on a large screen will work identically on a small label.

• Keep clear space around the QR symbol.
• Do not stretch the image disproportionately.
• Use strong contrast between modules and background.
• Test long payloads and small labels at the intended print size.
• Scan a sample using the same devices your users are likely to use.

Review the spreadsheet before generating hundreds of QR codes

Bulk generation amplifies source-data mistakes. A typo in one URL becomes a perfectly scannable QR code that leads to the wrong place. Review duplicate URLs, broken domains, unwanted spaces and obsolete destinations before producing the final batch.
