How to Create EAN-13 Barcodes from Excel

Start with the correct product identifier

EAN-13 is a retail barcode symbol used to represent a GTIN-13. The barcode generator and the product identifier are separate things: generating bars does not allocate an official GTIN, establish ownership of a number or register a product with a retailer.

If you are creating retail product records, obtain and manage the identifier according to the applicable GS1 and trading-partner requirements first. Use BarcodeBatch after you already know the exact value that should be rendered.

Prepare the EAN-13 column correctly in Excel

EAN-13 values should be treated as identifiers rather than numbers for calculation. This matters especially when a value begins with zero. Microsoft documents that Excel can remove leading zeros from numerical text unless the data is protected as text.

• Keep one intended EAN-13 value per row.
• Use a clear header such as Barcode Value or EAN-13.
• Format the identifier column as Text before entering or pasting values when leading zeros can occur.
• Verify the underlying cell contains exactly the 13 digits you intend to encode.
• Keep Product Name in a separate optional column rather than mixing names and identifiers.

Generate EAN-13 images from the workbook

Why BarcodeBatch does not silently fix EAN-13 values

A retail identifier should not be changed merely because a generator thinks another digit would satisfy a checksum rule. BarcodeBatch therefore follows a strict data-integrity contract: no trimming, padding, truncation, case rewriting or check-digit replacement. Exact-length numeric input is rendered as supplied; incomplete or structurally wrong-length values are not silently completed.

That keeps the generator from turning bad catalog data into a different identifier without the user noticing. If a value is wrong, correct the source record using the authoritative product data rather than relying on image-generation software to invent a replacement.

Check the batch before production use

Before printing hundreds of labels, scan representative outputs and compare the decoded value against the spreadsheet source and your authoritative product record. Also confirm the retailer or trading partner expects EAN-13 for that item and market.

• Scan values with and without leading zeros if both exist.
• Compare decoded data to the exact source cell.
• Confirm product-to-GTIN mapping, not just barcode readability.
• Test the actual print size and printer workflow before a large run.
